How Sweet Angeles schedules custom cake pickup and delivery on Shopify

The shop

Sweet Angeles is a custom cake bakery in Los Angeles, run by Ruby Davids. Every cake is made to order, from a single birthday tier to a full wedding centerpiece, baked and decorated by hand only after the order lands. Nothing is frozen, nothing sits on a shelf. So the kitchen needs a few days' notice before a cake can go out the door.

Shopify checkout never mentions any of that to a shopper. It will happily take an order for tomorrow.

The problem

Shopify checkout is built for products that ship off a shelf. A made-to-order cake is not that. Nothing in the flow told a shopper how long a custom cake actually takes, so orders kept landing for next-day pickup that the kitchen had no way to make in time.

Then Ruby was stuck with the worst job in retail: calling a customer after they had paid to tell them no. Sometimes they understood and moved the date. Sometimes they just cancelled. By her account it happened more often than she likes to admit.

The fix

Sweet Angeles runs Bird Pickup & Delivery on Shopify now. The setting that earned its keep is preparation time, paired with blocked-out dates.

Set a minimum prep time and the date picker quietly drops any day the kitchen cannot reach. Block the dates that are already full and a busy Saturday stops getting oversold. A shopper only ever sees days that are genuinely open, and they see them before checkout, not after.

Everything else sits around that:

• A date and time picker in the cart, so the day and slot are settled before checkout, not guessed after.
• Store pickup and local delivery side by side, also called click and collect, so anyone across Los Angeles can take whichever suits them.
• Time slots for pickup and delivery, sized to what the kitchen can handle rather than only what the customer wants.
• A delivery-area check, so a shopper knows their address is covered before they place the order.
• The chosen date written straight onto the Shopify order, so Ruby and the customer are reading the same plan.

Shopify's own pickup and delivery covers the basics. What it cannot do is shape the calendar around real prep time, so a cake never gets promised before the kitchen can make it. That gap is what Bird closes for Sweet Angeles.

What changed

Those after-the-fact phone calls have mostly gone quiet. A customer picks a date, checks out, and it is locked in on the bakery's side. The team bakes to the calendar, boxes the cake, and it is ready when the customer arrives. Ruby says a normal Tuesday finally feels manageable.

What she keeps coming back to is the calm. No more hunting down orders the kitchen cannot make, no more apologetic calls after the fact.

The kitchen runs calmer because we know exactly what's coming and when.
